You Can Never Manage Time

Time is only a concept that allows us to rationalize linear changes in our lives. The only reality that makes any sense to me is that we live in a universe without any beginning or end and that we are all an important and integral part of this eternal universe. We exist as intelligent energy within this infinite continuum and as energy can either be destroyed or created, only converted from one form to another, we must be eternal.

Time is therefore only a concept, over which we exert no physical control and as we cannot control the passing of time. We must therefore become as effective and efficient as possible at utilizing our available time. Effectiveness is all about discovering the right actions to take, that will deliver the future you desire and efficiency is applying a system to ensure that you carry out these actions as time effectively as possible.

You have 86400 seconds each day, if you don't use them, you lose them. This makes your time your most valuable asset, as it can never be saved, it can only be invested into creating the future outcome that you desire. Something this valuable should always be spent really wisely and invested into creating the life of your dreams. After you make this realization, you will have mastered your life and have a powerful tool that will help you to move your life in the direction of super achievement. Always remember that you can never manage time; you can only manage your use of your available time.

Spend your time very wisely as you can never save time, you can only choose to SPEND it more wisely. There are a couple of philosophies we can adapt, which will either keep us trapped in mediocrity or allow us to begin moving down the path to super achievement. The first option is to spend our time on frivolous pastimes that offer fleeting enjoyment at best and just remain trapped in a life of mediocrity. Or we can finally make the choice to invest our 86400 seconds into taking the right actions every day that will deliver on our dreams.

Feeling Overwhelmed

In today's world could almost be called a typical feeling. Sad, isn't it? That feeling stems from simply having more to do than you feel you can possibly manage. It's a very real feeling but, fortunately, the solution is also very real.

In this article I'm going to help you answer the question of where do you start when feeling overwhelmed. Later in the article I'm going to give you some tips to manage your life.

OK... let's start.

First,

Write down all you need to do. I know it seems counterintuitive but this step is necessary because it will give you an overall idea of all the things you need to schedule, but also because it will probably let you know things aren't as bad as they seem.

Second,

Take just a few minutes and write down a priority beside each of these tasks. Some may be high priority in that they have to get done really soon and some may have a lower priority and can be put off.

Third,

Consider delegating some of these tasks. Can your spouse help? How about the kids?

Fourth,

Take the high priority tasks left and figure out an order for them. See if you can multitask with some of the lower priority tasks.

Last time I did this exercise I ended up going for days with the same list and noticed day after day the same tasks getting put off. I finally realized that they weren't so important after all if every single day the importance of other tasks always trumped them. I think I finally just either scheduled time to get them out of the way and finally get them off my mind or just took some off my list altogether.

Tips to manage your life

· Learn to create a to-do list - This is an invaluable tool which can help keep life from getting out of hand.

· Learn to delegate - There's no reason you have to do things that others can do just as well.

· Get accustomed to not getting everything on your to-do list done today - Sometimes we can only get so much done before we're just mentally done for the day. Learn to accept when your Super woman cape gets repossessed.

· Learn to ask for help - There's no shame in this. It isn't a sign of weakness...it's a sign of strength.

· Learn to say no if needed - I love this word because saying yes to something is automatically saying no to something else. Just remember that.

· Learn speed cleaning techniques - Everyone loves a clean house and it can be done.

· Create and follow menus - This is a super time-saver and stress reducer.

· Watch less TV - Regardless of what you think this does not enhance your life. Taking photos of your family and creating albums does. Singing does. Taking long walks with your spouse does. Reading does.

· Check your e-mail less - Just schedule time for this. Don't do it 15 times a day when 2 times would work.

Tips to Manage Your Time Better and Be More Successful

It happens to me all the time. I start the day with my list of things to complete, and before I know it hours have passed, and I'm lucky if I've crossed one item off my list. Frustrating! Clear sign that I may be a slave to time, closing out the day with a longer list for the next day and feelings of overwhelm starting to creep in. But how does this happen?

Let's see if we can break it down.

First step, your list. Do you have one? Check. Did you put all the important tasks on the list? Check. Now, did you prioritize the list based on most necessary to complete? What? Missed that one? Not to worry, many people do. Many times we may use our list as a tool to remember what needs to be done, and then get caught up in whatever is in front of us right now. The list is relegated to more of a 'If There's Time To Do' list. Let's find a way to use the list as the way to be productive, and successful every day. There are loads of books and courses devoted to the topic of time management, but a couple of things can help get you on the right path.

The first one that is crucial to success is to prioritize your list. What do I mean by that? Well, let's say you listed items such as: Send thank you to new client, Check out new cell phones, Set up payment plan with doctor, and Get an oil change. When you look at these items, you may want to prioritize by which item will be easiest, or take the least amount of your time, or even which you would enjoy more. We all do it. It's natural to put off the thing on our list that we just don't want to do. And doing anything else, even if it isn't on the list. We welcome distractions as a 'reason' we didn't get that task completed. This is not helping us be successful IF that task we skipped is the most important one to getting us closer to a goal we have.

Instead, when you write your list, take a look at each item and ask yourself, is this task urgent, important to a goal, and need to be done as soon as possible? If you say yes to these questions, then you know this task should be a priority. You could label it a '1' or an 'A', or whatever works for you to know to do it first. Items that are less urgent can be labeled '2' or 'B', and items that you would just like to do at some point would be '3' or 'C'. Now your list has meaning, and you can concentrate on what will get you closer to completing a goal. You will definitely feel better at the end of the day if you use your energy to do the #1 tasks.

The second tip that will help you be more successful at managing your time is to limit the distractions. This could involve turning off your TV, checking email or Facebook at only scheduled times of the day, or when a distraction surfaces that does not need to be handled immediately just add it to the list with the appropriate label (2 or 3). This is harder than it sounds in our information overloaded society. There could be withdrawal symptoms from tweeting or messaging. Think about it; how important (on a scale of 1-3) is it that you know what everyone says all the time? If you give yourself even an hour of distraction-free time to complete an item from your list, you will enjoy catching up that much more. And you may even be inspired to do more.

This is a great unexpected benefit of feeling productive. You become more productive. All it takes is two simple steps to use your list in a different way. Once you get that down, the sky is the limit.

To manage your time at work, you have to take a holistic view of time management. This means focusing on "what," "why," and "how." If you can get the "what" and the "why" right, then you make it a lot easier to focus and prioritize. This will also help you make your time spent more meaningful and productive.

One of the best principles to follow when you manage your time at work is:

Work on the right things, at the right time, the right way, with the right energy.

If you use that as your guiding principle, you will continuously find ways to better manage your time. You will create more momentum, more engagement, and more positive impact. Keep this guiding principle in mind, as you practice time management at work, and in life.

10 Ways to Manage Time at Work
To improve how you manage time at work, you need a baseline set of habits and practices. Here are 10 ways to manage your time at work:
Create a schedule. Take the time to design your time. You may have more flexibility than you first realize, so step one is to map out your week. Identify recurring activities and meetings. Identify what you can change and what you can't. Next, identify the types of things you want to spend more time on.
Get into a rhythm. Establish a rhythm for results. For example, one easy way is to focus on three wins for the day, three wins for the week, three wins for the month, and three wins per quarter, and three wins for the year. By focusing on three outcomes for each of these time frames, you give yourself a way to establish a regular cadence for delivering value. You also give yourself an easy way to see more immediate things to do vs. longer-range things. This can help you focus and prioritize on what's in front of you, while having the big picture in mind. Having a rhythm also helps you keep a powerful mindset. If you miss one of your ship cycles, rather than dwell on that, focus on catching your next train. The key is keep the trains leaving the station. This will help you build a reputation of execution excellence.
Establish boundaries. Don't end you day when you run out of steam. Set some simple time limits. A friend of mine has the rule, "Dinner on the table at 5:30 P.M.", and he works everything around that. His ends his work day to make it home on time, and he fills his day with as much high value, high ROI work that fits within that box of time. This forces him to focus on more important things and to spend his time budget more wisely. The opposite is to just throw hours at things or run until you run out of energy.
Focus on priorities. Know what's valued. If you know what's important, then you can spend a lot less time on the things that don't count. More importantly, you can spend a lot more time on the few things that do. This is one of your biggest time savers on the job, and it's also a key to getting acknowledgement and feeling values for what you do. It helps you stay relevant. The trick is to know the priorities up the chain, so you can see how things connect.
Set appointments with yourself. Just like the way to build wealth is to pay yourself first, the key to effective time management is to set appointments with yourself.
Know when you work your best. Are you an early bird, or a night owl? Do you get your best work done in the morning, afternoons, or at night? You might know right off the bat. If not, you can always test. You can find creative ways to shuffle the work you do around a bit, to find ways to leverage your best hours. For example, I make it do my heavy lifting in terms of thinking work in the morning, and more of my people interaction later in the day, once I have key things off my plate. I don't do intensive thought work at 3:00 P.M., unless it's more creative type thinking.
Spend more time in your strengths. You will achieve more in less time when you play to your strengths. The more you can use your natural thinking, feeling, and doing patterns, the faster and easier things will be, and the faster you will get good at what you do.
Spend less time in your weaknesses. While finding ways to spend more time in your strengths, also find ways to spend less time in your weaknesses. A weakness goes against your grain, and it's anything that goes against your natural thinking, feeling, and doing patterns. Your weaknesses will slow you down and make things take longer, and you won't enjoy your time spent as much. The caveat here is that if you have significant areas that hold you back, then it may be worth investing in your weaknesses to get over humps. Just remember to balance with spending more time in your strengths so you can bring out your best.
Find ways to batch your work. If you can consolidate related activities and find ways to batch your work, you will achieve a lot more in less time. Better yet, you will be able to find efficiencies when you do things in a batch, that you won't find when you handle on a case by case basis. By batching your work, you will both streamline your time, and streamline how the work gets done. You will also get better with practice. You can then re-invest the time you save here, to find more ways to work smarter, and not harder.
Do the worst things first. Nail your tough stuff first. This way, you won't have it looming over you like a black cloud all day or all weak. Maybe this means trying to do it first thing in the morning. Maybe this means trying to do it on Monday vs. later in the week. Find the patterns that work for you, but the goal is to use your best energy to deal with your toughest challenges, and create glide-paths for the rest of your day, and the rest of the week. It's a great feeling when you know your worst hurdles for the day are out of the way.

Test Your Results
The most important thing to keep in mind is to keep testing and refining what you know. Your biggest improvements will most likely come from small and incremental changes. The little wins will add up. The good news is, you get to practice each day, so each day is a new chance to learn another insight or take another action towards mastering time management.
